Avoid Time-Zone Confusion in Appointment Requests

Label the business time zone, customer time zone and confirmation state clearly when collecting appointment requests online.

Make the time zone part of the appointment

A request reading Thursday at 2PM is incomplete when participants may be in different zones. Decide whether the business chooses availability in its own zone and how the customer sees that choice. Record the calendar date, local time and named zone together. Do not assume a city abbreviation, a browser guess or a fixed UTC offset will describe every future appointment correctly.

A checked fictional example

For October 15, 2026, 2PM in America/Indiana/Indianapolis corresponds to 1PM in America/Chicago. This conversion is a demonstration, not a real booking. A confirmation preview could show both named locations and the full date so the customer can check it. The same design should be tested on dates near daylight-saving changes rather than assuming every recurring meeting behaves like this example.

Define request and confirmation separately

An appointment request may record a preferred time without reserving it. Decide which system checks availability, who approves a request and when a calendar event becomes confirmed. A customer-facing message should match that state. Keep the zone visible in review, confirmation and rescheduling screens; otherwise the first screen can be clear while the follow-up email reintroduces ambiguity.

Prepare a time-zone test sheet

List a same-zone customer, a different-zone customer, a daylight-saving transition and a recurring event. Record the expected time in each display and the calendar value actually stored. Google Calendar uses IANA time-zone identifiers; its calendar and event concepts explain the representation. Your chosen booking platform may handle this differently. North Front Digital can review the complete request path through application planning.
